BOOKING

If you wish to book for other persons, you must be authorized to do so by that person.

What data do we collect from you?

When you book a trip, the data you provide is recorded by us. We collect data including:

• Name, address, place of residence, telephone number, email
• Date of birth
• Payment details
• Dietary details (if you wish to provide this)
• Necessary medical details (if you wish to provide this)
• Data about the booked trip
• Company name and policy number of your travel insurance

 

What do we use your data for?

• Your data is needed to make reservations, to provide you with information about your trip, for relevant communication concerning the booking, for the proper execution of the trip, and to handle the booking and payment.
• Your dietary details are shared with the hotel or other travel service providers that provide meals, and if this has a medical or religious reason, only to the extent that you have given permission.
• To the extent that you have given permission, your medical details are shared with the travel service provider who needs to be aware of them, and disclosure is necessary for needs you have indicated, your safety, or the safety of others.
• Your NAW (Name, Address, and Workplace) details, bank details, and information about the booked trip, the costs, and the payment are processed for accounting, accounts receivable, and collection actions.
• Your data may be used for a legitimate interest of the company or third parties, such as handling complaints, disputes, and legal claims, as long as your interest does not have to prevail.
• We process your experience to assess whether you meet the participation requirements. This is necessary for your safety, that of others, and for the proper execution of the trip.
• We process the company name of your travel insurer and your policy number to check whether you have travel insurance because it is mandatory.

Basis

We collect your data for the performance of the contract we have with you. In addition, data is processed based on the legitimate interest of the company and third parties, as long as your interests do not have to prevail. Furthermore, data is collected to comply with legal obligations, in particular the obligation to keep accounts. For the processing of your dietary/medical data, you must give explicit consent.

How long do we keep your data?

• Unless otherwise determined, personal data will be stored for up to two years after the trip.
• Medical details will be deleted immediately after the trip.
• Insofar as data is necessary for tax administration, these data are kept for the period required by law (usually 7 years).
• Deviations from the above retention periods may occur due to a legal obligation or a legitimate interest of the company or third parties, as long as your interest does not have to prevail. Data may be retained, among other things, in the event of complaints, possible disputes, or legal claims for 2 years after the resolution of the complaints, dispute, or legal claim.

 

With whom do we share your data?

• We make your data available to travel service providers if and insofar as it is necessary for the proper execution of the trip, to look after the needs you have indicated, for your safety or the safety of others.
• In processing data, external processors such as the booking system, the accounting system, the email system, accounting, and for payment and collection are used.

Transfer to a third country or international organization outside the EU?

If your trip takes place outside the EU, the necessary personal data will be transferred to local travel service providers outside the EU based on the performance of the (travel) agreement with you. The travel service providers are themselves responsible for the correct processing of your personal data and are bound by the privacy rules that apply in that country.

What data do we collect from you?

We collect data including your name, the purchased trip, your evaluations of the trip, your other feedback, or information you mention in the travel evaluation.

What do we use your data for?

• The data is used to evaluate the trip and improve our services.
• We may also use it to contact you in case of unclear or incomplete answers.
• With your permission, we may use your evaluation for publication, for example, on our website, in newsletters, or promotional material.

How long do we keep your data?

• Unless otherwise determined, the evaluation forms are stored for up to two years after the trip.

YOUR RIGHTS

Right to access, rectify, and erase data

You have the right to request access to your personal data. You can also request rectification or erasure of your personal data, unless we are required by law to keep certain data.

Right to object

You have the right to object to the processing of your personal data, particularly if the processing is based on legitimate interests of the company or third parties.

Right to data portability

You have the right to data portability, which means that under certain conditions, you can request that we send your personal data in a common electronic format to you or to another organization.

Right to withdraw consent
